The Specialist, Office Services plays a key role in supporting efficient workplace operations for American Airlines by coordinating mail services, print operations, and office support activities across multiple locations. This position serves as a subject matter resource for office services processes, helping ensure timely service delivery, operational effectiveness, and accurate reporting while contributing to a positive experience for Team Members and business partners.

What you'll do

  • Coordinate daily mail services and printing operations for designated office locations, including Charlotte (CLT) and Pittsburgh (PIT).
  • Serve as a lead resource for Office Services activities, providing guidance and support on operational processes and service standards.
  • Monitor and track print production activities to ensure quality, efficiency, and alignment with business needs.
  • Develop, maintain, and distribute operational reports related to print impressions, usage trends, and associated costs.
  • Analyze printing and mail service data to identify opportunities for process improvements and cost optimization.
  • Manage inventory levels for printing supplies and office service materials, ensuring adequate stock is available to support operations.
  • Coordinate the ordering, receipt, and distribution of printing supplies while maintaining appropriate inventory controls.
  • Partner with internal stakeholders and vendors to resolve service issues and ensure timely delivery of office services.
  • Support budgeting and expense tracking activities by monitoring printing-related expenditures and providing reporting insights.
  • Maintain documentation of office services procedures, operating guidelines, and process updates.
  • Assist with implementation of new office services initiatives, technologies, and operational enhancements.
  • Ensure compliance with company policies, procedures, and records management requirements.

All you'll need for success

Minimum Qualifications- Education & Prior Job Experience

  • High school diploma or GED.
  • 3 years of experience in office services, administrative operations, print services, mail services, facilities support, or a related field.
  • Ability to work flexible hours as business needs require.

Preferred Qualifications- Education & Prior Job Experience

  • Bachelor's degree in Business Administration, Operations Management, or a related field.
  • Experience supporting corporate office services operations in a large organization.
  • Experience working with print management systems, mail tracking systems, or inventory management tools.
  • Experience creating dashboards, metrics reporting, and cost analysis.
  • Knowledge of vendor management and purchasing processes.
  • Experience identifying and implementing process improvement opportunities.
